What do I need to join?

Registration

In order to register to the conference, you need to log in nanoGe (or create an account if you are not registered yet) and buy a ticket as usually. Upload a profile picture if it is not yet in the system. You will receive the registration confirmation via e-mail.

Submit your contribution

These are the types of contribution

  • Invited speakers (by invitation only)
  • Oral contribution, selected by the organizers from the presented abstracts
  • ePosters, explained in more detailed below.

Sponsored contribution

  • Sponsor invited speakers present a technical topic of scientific interest
  • Sponsor presentation presents products or services

Oral contribution:

Once you are registered in the conference, you will be able to submit your contribution in the Abstract Submission tab. In order to present an oral contribution you need to submit an abstract and select your preference, before the deadline for oral contribution. Contributed orals will be selected by the organizing committee. Oral abstracts not selected for oral will have the chance to be presented as an ePoster. For presenting and ePoster contribution it is necessary to present an ePoster before the deadline for ePoster submission.

ePoster contribution:

For fully obtaining the main goals of a scientific conference, the participation of researchers presenting their ideas in a rich interactive context is necessary. ePoster is a versatile presentation of scientific information. With ePoster format you can achieve a variety of goals according to your preference:

  • Present your work and get feedback. Give diffusion to your results
  • generate discussion on any scientific question of your interest.
  • keep up with cutting-edge research in your field
  • get clarification on research that’s important to your studies.

Join the live conference

Two hours before the start of the Oral Session, the Live Conference tab will be available at the conference website. Participants should log in and enter the tab, where they will have access to the streaming video for the Oral Session and a direct buttom to the ePoster Session platform.

The oral session will consist of presentations with slides played while the speaker is talking on a specific topic for about 15 min. A Question and Answer chat will be available during the conference so that participants can ask questions to Speakers. They will be answered during the Discussion Pannel.

Join the ePoster Session

The ePoster Session chat platform will be available during the conference through the Live Conference tab. There, a “Go to conference” buttom will be available for participants to join the chat platform at any moment. The ePoster Session starts officially after the Oral Sessions. The instructions on how the chat platform works are available in the Instructions for participants and will be explained at the end of the Oral Sessions.

Prepare your contribution

Contributed talks

If your want to present an oral contribution, you should submit your abstract from the Abstract submission tab. Once there, select your preference for Contributed talk and fill the form. You must submit the following contents:

  • Title of your contribution
  • Topic: choose the symposia you would like to fit your contribution
  • Authors
  • Affiliations
  • Abstract

Contributed orals will be selected by the organizing committee. Oral abstracts not selected for oral will have the chance to be presented as an ePoster. For presenting and ePoster contribution it is necessary to present an ePoster before the deadline for ePoster submission. You should edit your submission, adding the mandatory fields for ePoster submission.

What is an ePoster?

For fully obtaining the main goals of a scientific conference, the participation of researchers presenting their ideas in a rich interactive context is necessary. ePoster is a versatile presentation of scientific information. With ePoster format you can achieve a variety of goals according to your preference:

  • Present your work and get feedback. Give diffusion to your results
  • generate discussion on any scientific question of your interest.
  • keep up with cutting-edge research in your field
  • get clarification on research that’s important to your studies.

Prepare and submit your ePoster

If you want to participate with an ePoster, you must submit the following contents:

  • Author list and title of ePoster.
  • ePoster: Image file containing the information and data you want to present to participants. The supported formats are JPG and PNG (max. 1MB/2000pix)
  • A profile picture (you should complete it on your profile, JPG or PNG, max. 1MB/ 300x300pix)

As optional elements, you can add:

  • Table of Contents (TOC) graphic: an illustration that communicates visually the main message of your ePoster. The width of the image is 16:9. It cannot exceed 1MB size and 2000pixels. The supported formats are JPG and PNG.
  • Supporting information. Additional file in a PDF file containing the details of your work
  • A text abstract between 100 and 400 words
  • A video, presenting the topic of your contribution. Prepare a video of explanation of your ePoster less than 3 minutes time, upload to an online video-sharing platform (Youtube, Vimeo...) and copy here the link of your video

In contrast to traditional static conference posters, that present a closed scientific case, ePoster for online conference is a dynamic framework to instigate the exchange of scientific ideas and information. You can be more creative, provided that the normal codes of scientific exchange are respected.

When designing and making your ePoster you should follow some basic directions.

  • Present the information clearly, combining text, diagrams and graphics, so that it can be viewed quickly and create a strong impression.  
  • Use large font size. Do not overcrowd the ePoster with information and details.
  • Use the landscape orientation that can be viewed both in computer screen and social networks.
  • Divide an ePoster into distinct boxes that allow to zoom for viewing the information during discussion.
  • Highlight a clear message of your ePoster that can be grasped very rapidly.
  • You can also (optional) present your ePoster in a video with duration less than 3 min.
  • You also may also present additional information as a preprint of an article (optional).

Your ePoster will be available in the tab "ePoster Board" along with the tittle and your picture during the conference days and only for registered and loged participants. A code will be assigned to your contribution. Save this number, it will indicate the room assigned to your ePoster in the chat platform where the ePoster Session will take place.

We highly recommend to include a TOC since the visibility of your work in the ePoster Board will be increased. 

    

TOC format

The TOC is an illustration that communicates visually the main message of your ePoster. It can be a simple sketch or a piece of text. It should attract the attention of people that looks at in the display of all the ePosters in the ePoster Board. You may use as TOC the section with the central message of the ePoster.

                             

ePoster Session - Discussion Spaces

All the ePosters will be displayed in the ePoster Board, where all participants can look at them in any moment and prepare the ePoster Session.

After the Oral Sessions, there will be a break. During this time, participants will get an email with the link to the ePoster Session. They can visit the ePoster board and prepare the session too.

The ePoster Session will take place in a chat platform where you will find:

  • A Directory with a channel for each of the ePosters. ePosters will be identified with the code assigned in the program
  • A General_Poster_Hall with some basic information about all the eposters, provided by the authors and a direct URL to join their channel.
How to join a discussion channel

The ePoster Session will take place in a chat platform where you will find:

  • The discussion will take place through a chat room on the RocketChat platform.
  • Users can access it through the URL sent by mail.
  • A Directory with a channel for each of the ePosters. ePosters will be identified with the code assigned in the program. Each ePoster is identified by a number (see ePosters Board), and the name of the ePoster:

  • A General_Poster_Hall with some basic information about all the eposters, provided by the authors and a direct URL to join their channel.
  • Authors of ePoster will share their TOC and invite everybody to join their channel. Participants can join the discussion chat of the ePoster they are interested through the Directory.

Register in the Chat using the Talk as anonymous option (not the sign up option). Use as name your full name (or the full name of the poster 003_Michal_Sullivan if you have one) in order to be recognized by participants.

When you first enter in the ePoster Session chat platform, you will find the Directory with all the rooms.

  1. Access the Chat room and locate the Discussion Channel of your ePoster early before the start of ePoster Conference time.
  2. As a participant, join the channels that you are interested in.
  3. Access the General_Poster_Hall.

Don’t miss the Directory! You can access it at any moment clicking on Directory.

You can also share your ePoster and materials on Twitter using the official hashtags.

The General_Poster_Hall is a room where you can see basic information about all the ePosters, provided by their authors. Authors should share the title, TOC (if you prepared it) and the direct link to access the Disucssion Channel assigned.

Do not carry discussions in the general_poster_hall. Go to the assigned room. Interact with participants in the topic of your interest while you keep an eye to your poster room for answering the questions about your poster.
